Birchen Coppice Pride in Place Survey
Who is responsible for your information?
Wyre Forest District Council (WFDC) is the Data Controller for personal information collected through the Birchen Coppice Pride in Place resident and business surveys.
The surveys are being administered on behalf of WFDC by Pixel Design & Print Ltd / Nettl, who are acting as a Data Processor for the purposes of administering the surveys, hosting the online questionnaires and compiling survey responses.
Why we collect your information
The information you provide through these surveys will be used to understand the views, experiences and priorities of residents and businesses within Birchen Coppice, Foley Park, the Rifle Range and Silverwoods.
Survey responses will help inform the priorities for the Pride in Place Programme and the investment being made in the area.
For the resident survey, we ask for your house number/name and postcode so we can understand where responses have come from, identify local trends and help accurately manage responses received through different collection methods.
This information will not be used for marketing purposes and individuals will not be identified in any published survey results.
What information we collect
Depending on which survey you complete and the answers you choose to provide, we may collect:
- your survey answers and comments;
- your house number/name and postcode;
- information about your neighbourhood or business relevant to the survey;
- demographic information requested within the survey; and
- your name, address, email address and telephone number where you choose to provide these details.
Some information is required to enable us to manage and analyse survey responses. Other information, including contact details provided for Pride in Place updates or Prize Draw entry, is optional and will be clearly identified as such.
Pride in Place updates and Prize Draw
Where you choose to provide your contact details, you will be able to select separately whether you would like:
- to receive updates about the Pride in Place Programme, including events, activities and opportunities to get involved; and/or
- to be entered into the Pride in Place Prize Draw.
Your contact details will only be used for the purpose or purposes you select.
You do not have to provide these optional contact details in order to complete the survey.

Our lawful basis for using your information
Wyre Forest District Council is responsible for determining the lawful basis for processing personal information collected through the Pride in Place surveys.

Where processing is based on your consent — for example, where you choose to receive optional Pride in Place communications — you can withdraw that consent at any time.
The ICO requires the applicable lawful basis to be included in the privacy information, so I'd get WFDC Legal to confirm that the linked notice specifically covers these surveys before relying on it here.
How your information is collected and stored
Online survey responses are collected through this dedicated Pride in Place survey website.
The website is hosted and managed by Pixel Design & Print Ltd / Nettl and uses WordPress and Gravity Forms to collect survey submissions.
Online survey responses are stored within the website's WordPress database. Gravity Forms states that form entries are not automatically sent to Gravity Forms' own servers; information only leaves the website where additional functionality such as email notifications or add-ons has been configured to do so.
Responses received through the printed resident survey are entered into the agreed survey dataset by Pixel Design & Print Ltd / Nettl.
Electronic working copies of the survey dataset held by Pixel Design & Print Ltd / Nettl are stored on secured systems with access restricted to authorised personnel involved in administering the project.

As Data Controller and the organisation responsible for the Pride in Place Programme.
Pixel Design & Print Ltd / Nettl For administration of the postal and online surveys, hosting of the online questionnaires and compilation of survey responses.
3ni The organisation commissioned by WFDC to undertake analysis and reporting of the survey results.
Other organisations providing necessary technical services, such as website hosting, may process limited information where required to provide those services and will be subject to appropriate data-protection arrangements.
Your personal information will not be sold or provided to third parties for their own marketing purposes.
How long we keep your information
Personal information will only be retained for as long as it is required to administer, analyse and report on the Pride in Place surveys and in accordance with WFDC's retention requirements.
Pixel Design & Print Ltd / Nettl will securely delete or return personal information held on WFDC's behalf when instructed by WFDC that it is no longer required.
Information contained within routine system backups may remain temporarily until those backups are deleted through the normal secure backup-retention cycle.

This works provided WFDC's notice gives the retention period or explains the criteria used to determine it, which is something the ICO specifically requires.
Published results
Survey responses will be combined and analysed to identify views, priorities and trends across the Pride in Place area.
Individual respondents will not be identified in published results.
Free-text comments will also be handled in a way that avoids identifying individuals in published reporting.
